01: Structure

Workspaces and brands, not one shared bucket

A workspace is the tenant boundary. Its prompts, competitors, sources and evidence belong to it and are not visible from another workspace. A brand is the subject you track inside one. Most agencies run one workspace per client. Seats are invited per workspace, so a client contact can be given access to their own account and nothing else.

Workspace

The tenant boundary. It owns its own members, billing and data. Give a client their own workspace when they need their own people in it.

Brand

The tracked subject inside a workspace: its domain, aliases, competitors and market. A client with three product brands is three brands, not three workspaces.

03: White label

Your logo, on Growth and Enterprise

On Growth and above you can set a custom logo, an accent colour and a per-brand report title, and the CiteTrail mark comes off the report.

On Free, Essentials and Professional, reports carry CiteTrail branding. There is no way to remove it on those plans, and we would rather you knew that before the first client review than after it.

04: reporting

Five report types, generated when you ask for them

Reports run on demand as HTML, with CSV export of the rows behind them, over a 7, 30 or 90-day window. The Gap Sprint report packages the highest-priority open actions for one client into something a team can work through in a fortnight.

■ Automated delivery: not live

You can save a weekly or monthly frequency and a recipient list. Nothing sends to that list yet. The schedule is stored, the delivery is not built, and until it is, someone on your team has to press the button. We would rather say that here than have you discover it in month two.

What agencies ask first

How should an agency structure accounts?

One workspace per client. Each workspace holds that client's brands, prompts, competitors and evidence, and is invisible from every other workspace.

How many client workspaces do I get?

Free and Essentials include 1, Professional 2, Growth 5, Enterprise unlimited. Brands are capped at 1 on Free and Essentials, 3 on Professional, and unlimited on Growth and above.

Can I put my own branding on reports?

On Growth and Enterprise, yes: your logo, your accent colour, your report title, and our mark removed. On lower plans reports carry CiteTrail branding.

Do reports send themselves on a schedule?

No. You can save a frequency and recipients, but the product does not deliver to them. Reports are generated on demand today.

Can a client log in and see only their own account?

Yes. Invite them to their workspace by email. They see that workspace and nothing else. There are two roles: admin can write, everyone else is read-only, and that is enforced on the server rather than hidden in the UI.

Can I see all clients in one view?

Yes. The client visibility rollup and the agency pipeline both run across every workspace you have access to.
